Health & Safety Declaration

  • Under The Health And Safety At Work Act 1974, it is the duty of every employer to ensure, so far as is reasonably practicable, the health, safety and welfare at work of all employees.
  • Every exhibition stand is a miniature workplace and therefore should have a nominated, competent Health & Safety representative.
  • Complete the form in the checklist to confirm details of your nominated health and safety representative for your stand.

Method Statement

  • A Method Statement must be submitted for each space only stand – as with the risk assessment, whoever you contract to build your stand will likely take care of this for you, but do check and ensure they have all the information needed to prepare and submit.

Onsite Conduct

  • Ensure you have read the Site Rules and share with any staff who will be onsite during the build-up and breakdown periods, during which time the hall is considered a construction site. 
  • All staff must have undertaken a site induction, this can be done in advance here
  • Please be aware that under no circumstances will any person under 16 be permitted in the hall during the build-up and breakdown periods.
  • Any activity in the hall must comply with the current eGuide, the best-practice guidelines which have been created with exhibition safety in mind.
  • Please direct any queries regarding onsite conduct and your responsibilities to the Organiser.
  • As an exhibitor you must be insured for Public Liability to a minimum level of £2,000,000. Please ensure that you have a copy of your policy documents with you, onsite at the event. Failure to comply will be at your own risk. Please send a copy of your insurance to the Organiser

Risk Assessment

  • Every exhibition stand is a miniature workplace and therefore requires a risk assessment.
  • A risk assessment is a review of what (during the build, open and break period of the event) could cause harm to people; it should identify any hazards present on the stand, and detail the ways in which these hazards will be controlled to minimise risk.
  • If you have booked a shell scheme or pavilion stand, it’s unlikely there’ll be significant risk associated with your stand; the form in the checklist has been designed to show you have considered any potential risk on your stand, without asking for unnecessary detail. If you intend to build within your stand, or are planning any special activities or demonstrations, you’ll need to share a bit more information with us.
  • If you’ve booked a space only stand, whoever you contract to design and build your stand would ordinarily take care of this for you - or they can use the form in the checklist. Please share details of the exhibitor manual with your contractor.

Stand Plans

  • Detailed stand plans must be submitted for every space only stand; plans must include a plan and elevation view, all dimensions and details of construction materials. They should be submitted along with proof of your appointed contractor’s insurance and a Construction Phase Plan.
  • The Construction Phase Plan will form a cover sheet for your Stand Plans, and you can find a template at www.cdm4events.org.uk
